In attendance: Bob Bruhin, Franklin Evans, Maria Sawczuk, Raffaella, 3 Blade Jaguar, George Reinhart, Helena Anderson

I.          Minutes from the March 27 meeting were read and approved.

II.          Crystal Ball Wrapup

A.  The Final Take was approximately $1800, and was forwarded to the board via email in spreadsheet form. We more then doubled our investment in spite of lower attendance. Our net this year is closer to last year’s.

1.   The bill from caterer was $634.91.

2.   The number one raffle prize was the Marble Ball. Number 2 was Poo’s necklace.

3.      Thank yous are being sent to all speakers and vendors. Bob will assist with the thank yous to people who contributed raffle items.

4.      Witchy Poo has volunteered to start looking for locations for next year’s ball.

 

B.            Discussion on ways to make next year’s ball better

Suggestions:

1.      Change the format – make the day shorter, we lose people at dinner time

2.      Have only 2 offerings during the day

3.      Dinner, dancing

4.   End by 6PM – vendors all left by end of day

5.   2 hour sessions instead of 1 hour

6.      Can we do a separate Ball oriented event – i.e., dancing, etc only?

7.   It may be possible to solicit an outside organization to fund the event.

8.      What about contacting another organization to work with us as volunteers?

9.   We should keep the Crystal Ball name for brand name recognition and split the events.

10.      Action Items:

a.   Bob will contact potential commercial sponsors

b.   Franklin will contact potential volunteers

c.   Raffi will work with Franklin to get parameters for the site to give to Jen.

III.          Summer Social

A.  Will we have vendors?

1.      Issues of vending in Fairmount Park – Can we? How much? Vendors are interesting & have been asking.

2.      Tony has been to events in Fairmount where there were vendors.

3.      Raffi will find out what the scoop is.

B.   Bob wants to get a quote for a years’ worth of event insurance.

C.  We need a theme for the Social – between now and next meeting – think of a theme

IV.          Finance update

A.  At our last deposit, our balance was $2135.26

B.   Our PayPal  has gone up around $100. We are solvent again!

 

 

V.          Newsletter

A.  Raffi is going to Mystical Tymes to get $185 for their ads for the newsletter

B.   Next deadline May 5, 2003.

C.  We will be publishing a piece on North Wolf

D.  Ad sales – Raffi hopes to get help with that. Tony can try to work on places near him to sell ads.

1.   Try to get people looking in different places

2.   Our circulation is 2000.

3.   The more ads we have, the better the newsletter can be.

 

VI.     New Meeting schedule

A. Mondays are good

IX. Fringe Festival

A. Franklin and Helena have not had time to discuss us

1. Bob spoke w/Darryl Kummerow of the DC Radical Faeries – Eric Eldritch has given us his blessing to use their ritual if we choose.

X. Solstice ritual

XI. Community Garden

A. Raffi wants to solicit help with the community garden initiative.

1. She needs outside help to get it started.

2. 1 person a night to look after the garden.

3. Needs community people dedicated to the project – a core of 7 – 10, preferably Center City residents

4. Philly Green gives you everything but physical help

5. Raffi still working on talking to Philly Green people and getting paper work.

6. Get Spiral Scouts involved – also get them involved in stream clean up.

XII. Next Meeting

Our most glaring weakness is PR – brainstorm, think up ideas.

Use PR to double attendance at our events

People on the cusp would come to our stuff if they knew about it

We also need better finance records – what if we are audited? Now is the time to set something up.

Goal set: by August board meeting – have some structure set up.
