ITEMS UP FOR DISCUSSION:

Committees/Quorums

This was a continuation of the discussion held at the meeting on Sunday, November 7, 1999.

The questions were asked:

What defines a committee?

What defines a quorum?

What defines a member?

Legally DVPN’s only members are Maria and Bob. In an ongoing effort to streamline our "business," committees would be one of the most effective ways to get things done. Decisions could be made without the whole board, or a majority of the board, being present. The group agreed that not everything needs to be called to a vote and that we sometimes get wrapped up in certain topics which does not allow us time to concentrate on other business matters which also need our attention. Maria brought up that we have not been able to focus on the 501C and that our original goal was to work toward a physical location. A lot of this has to do with everyone’s focus being on other agenda items.

The board agreed that we have to something in place by the Crystal Ball. The ball will be the 1st anniversary of DVPN’s inception. It was agreed that we should present our future mission and goals to those attending. The Charter Committee is being established to draw up a formal document stating our goals, reiterating our mission statement, and laying out how business will be conducted.

At the November 7th meeting, it was decided that Bob, Maria, and Paula would be members of the committee and that Raffaella should also be given the opportunity to participate. When presented with this at today’s meeting, Raffaella stated she did want to participate. Other possible members of the Charter committee are George Reinhart and Jay Lacorte. The first meeting of the charter committee has not been set.

Establishment of additional committees has been placed on hold until the charter committee has formalized the charter.

Membership

What constitutes a member of DVPN?

Who is considered a voting member of DVPN?

These are two questions plaguing the group, as we need to show membership for the 501C.

Other questions raised that need further discussion are:

Do you have to be nominated for membership to DVPN?

Does attendance at 2-3 meeting constitute membership with voting rights?

It was suggested that we could learn from the Galaxians.

Financials

Taste of the Bradywine book sales. Paula has sold two books.

Other fund Raising ideas:

Attend craft shows- Do not focus on Pagan side of why we are doing this. Focus on monetary reasons.

Locations need to be chosen and quickly so that we can take advantage of the holiday season.

Sell cookie dough

Sell pizzas

Car Wash- utilize SPA’s concept of joining with another organization and doing a joint fundraiser.

Mail

Is the mailbox being checked weekly?

Newsletter Subscriptions

This turned out to be a hot topic of discussion. It was agreed that the newsletter is a tool that we use to convey information to people. It was also agreed that the newsletter costs us money. Money out of our own pockets for printing costs, mailing costs, etc.

Becky made a very strong point when she stated that "Just because you have .org after your name does not mean that you give things away." It was agreed a letter would be sent to those on the mailing list stating that subscriptions are being accepted and stating this may be their last issue.

Deliverable: How many people on the mailing list?

Articles from Franklin, Jay, Jenn Eastep, the updated Broomcloset calendar, Becky is working on an article about wiccans and the law.

Do we have advertising? To date, no. Pay by 12/3 and advertising can be included in the newsletter.

Deadline for submission is 12/4/99.

Need to work on distribution plan for next newsletter.

Crystal Ball

Nancy is contacting vendors.

Speakers are being lined up.

Raffaella would like to include a tentative list on the December newsletter.

Bob will contact Kosh from the band witch to possibly set something up.

Miscellaneous Items

Bob and Maria will take care of cashing any checks we receive for reservations, subscriptions, vendor tables, etc.

Goddess 2000 Project

We will participate and assist Ann Duckworth with crowd control etc for this event.

The executive committee will meet at Raffaella’s on Sunday, December 12 for an impromtu potluck Yule party. Please bring a $5.00 gift to be exchanged.

No other projects to discuss at this time.

Executive Board Discussion

The board discussed code of conduct for the board members and how we should present ourselves to the public.

The meeting was adjourned.
