In Attendance: Bob Bruhin, Raffaella, Nancy Lebovitz, and Paula Board members present: Bob, Raffaella, Nancy, and Paula ITEMS UP FOR DISCUSSION 2nd Annual Summer Social- Picnic in the Park Permit Raffaella obtained able to obtain the same pavilion in Fairmont Park for this years summer social. The official date is July 30 from 10a-6p. Raffaella will work on the flyer and forward to everyone once it is complete. Flyer We will use the same flyer as last year as a template as the directions to St. Georges pavilion are on it. The following information is needed for the flyer: Actual titles of the speeches and who is presenting them, who has donated door prizes, and sponsors. Paula will ensure that the flyer is sent to New Hope and to merchants we cannot get to easily. Speakers To date we have five speakers scheduled. Terry Wilson will be giving a talk on essential oils Nancy will be leading a nature walk Franklin will be doing something on "stuff" Kirsten gave us a selection of topics Samantha will be giving a talk on Celtic mythology Raffaella needs the exact titles and topics within the next week and she will be sending out an e-mail to everyone for this information. Bob also mentioned that Gloria may be willing to speak and he will let us know as soon as possible. Door Prizes Samantha has donated a print. Cindy from Kindred Spirit will be donating and sponsoring something. Paula and Bob will ask Ellen if she will donate a gift basket. Raffaella or Bob will contact Hand of Aries The board also tossed around other possibilities for obtaining door prizes and sponsors. This will be discussed at future meetings. Directions the Day of the Event The board discussed the way we marked the location last year and agreed that we needed signs that are more visible. We will be making, or obtaining, large plywood signs that we can chain to telephone poles to direct people to the Summer Social. Staff designations Nancy will do buttons for DVPN board members again this year. Price The board agreed to keep the price the same as last year: $3.00 in advance and $5.00 the day of the picnic. Music The board agreed that we will not provide music, however, we are encouraging everyone to bring instruments so that we can have a drumming circle and jam session. Advance sales We will be talking to Fran and Cindy about selling advance tickets to the event in their shops. Details will be discussed at a future meeting. We also agreed to look into PayPal so that people can purchase tickets online. Advertising Several ideas were discussed regarding advertising the event. We will be contacting the local papers to have something listed in their free event listing sections. The board had some concerns regarding this issue. The main problems we have: who has the time to investigate possible advertising venues and which venues should we contact. Invitations The board agreed that we will be sending invitations to the local covens and pagan groups. Supplies We still have things left over from last years Summer Social and the Crystal Ball. To date we do not need to purchase any supplies. Witches Voice The board agreed that it is necessary for us to support the Witches Voice as they are financially strapped. It was agreed that there would be a jar for donations at the event. At this time, we do not have the manpower to do more than that as we are concentrating our efforts in the local area. Newsletter Raffaella will be collecting articles and information for the next newsletter over the next couple weeks. The deadline is June 20 and distribution will be on July 1. No ifs ands or buts! The board agreed to post an ad for an advertising sales rep on the discussion list. We have talked about needing people to go out and sell advertising space to supplement the cost of producing the newsletter. The board agreed this will be a commission sales position(s). We agreed that the sales rep would earn a 20% commission on any advertising sold. We agreed to start with one sales rep to see how things go. If this idea works we will eventually add territories and hire more sales reps. Bob will include an online ad in the announcement lists. Classifieds We also agreed that we will begin allowing people to place classified ads and personals in the newsletter. The rates are still being determined and we will announce this information to everyone either in the next newsletter or shortly thereafter. Cost of printing. We will be looking into printing the newsletter on newsprint in the near future. We are currently investigating the costs of this endeavor. Extra! Extra! Raffae has quark! Newsletter Miscellaneous topics We will hold off on gathering calendar information until the newsletter deadline. Nancy will be working on an article re: a ritual for Philadelphia Bob requested that Paula send a packet to Harvest Moon Productions DVPN Projects In the Works Pagan Pride Bob will be working on a write for the newsletter explaining what we need to do for this event The board agreed that as part of the public service criteria we would work with the Aids foundation and William Way. This will be finalized at a future meeting, as we need to discuss this idea with both parties. We will have a presentation board with Pagan Pride information at the Social. Benefit concert Due to Marias heavy workload, the board voted to create a concert committee staff. The person(s) will report to Maria and she will be in charge of the event. But she will now be able to delegate someone to do a lot of the legwork she is unable to do at this time. We also agreed that it might be a good idea to talk to our contact at one of the local radio stations for advice regarding the selection of bands. We also agreed that once we have the acts committed, it would be easier for us to locate a venue. If all goes well with the concert, this may become an annual event. 2nd Annual Crystal Ball It was agreed that we would hold it in a hotel as we foresee it becoming larger. Raffaella and other members of the board envision the Ball as a 2-day event; however, the picnic will remain a 1-day event. The Charter The Charter is currently being typed. Maria will let everyone know when the charter committee will be reviewing it and presenting it to the full board. The board will be announcing when we will be interviewing and selecting new board members once the Charter is completed. No other items of business were discussed and we closed Panda Garden once again. |
